Of all the business email providers in India, Zoho Mail is the one most small businesses should start with: it is free for up to 5 users, and its paid Mail Lite plan costs $1 per user per month. Pick Google Workspace Starter ($7) if your team already lives in Gmail and Google Docs, and Microsoft 365 Business Basic ($7) if you run on Outlook and Excel.
Every price below is the provider's US dollar list price, checked on 20 October 2026 and shown before tax, with the India rupee price in a line under each table. We also show what 5 mailboxes cost for a full year, because "$0.39 a month" headlines often hide a 48-month prepayment and a higher renewal price.
Quick answer: The best business email providers in India in 2026 are Zoho Mail (free for 5 users, paid from $1/user/month), Google Workspace (Starter $7; the India-only Base plan is about $1.04), Microsoft 365 Business Basic ($7), Hostinger Mail ($0.39/month on a 48-month term, renews at $1.59) and Rediffmail Enterprise (from about $2.85/user/year). Most listed prices exclude tax; Indian buyers pay rupee prices plus 18% GST. If you pay in rupees, Microsoft 365 Business Basic (₹170) is cheaper than Google Workspace Starter (₹270); in USD both are $7.
How we compared these providers
We kept services that sell a mailbox on your own domain (like [email protected]) to Indian customers, with ₹ pricing on an official page. For each one we recorded:
- Price per user per month, annual billing, before tax, in US dollars from the provider's global pricing page on 20 October 2026. Plans sold only in India are converted at ₹95 per dollar and marked "about".
- Renewal price, where the provider shows one. Hosting-style email often renews at two to four times the first price.
- Mail storage per user, and whether storage is per mailbox or pooled across the team.
- What else you get: documents, video meetings, cloud storage, or mail only.
- India-specific points: ₹ billing, GST invoice, data stored in India, Indian phone support.
We have not run deliverability or uptime tests for this comparison. Where hands-on notes help, you will see them added separately.

A shop that takes orders by email needs a mailbox on its own domain, which is what every provider in this comparison sells.

What is the cost in Indian rupees? On the India pages, before 18% GST: Zoho Mail Lite ₹59 (5 GB) or ₹75 (10 GB), Zoho Workplace Standard ₹99 (₹129 monthly), Google Workspace Base ₹99 (₹49.50 for the first 3 months) and Starter ₹270, Microsoft 365 Business Basic ₹170 (₹204 monthly), Hostinger Mail Starter ₹29 on a 48-month term renewing at ₹69 on hostinger.in and GoDaddy Pro Light ₹39 for the first year. Rediffmail Small Business costs ₹510 per user per year; Rediff's page does not say whether GST is extra.
Prices from Google, Microsoft and Zoho stay the same at renewal unless the provider changes its list price. Hostinger and GoDaddy show a lower first-term price.
Business email cost for a 5-person team
Per-user prices look small until you multiply them. Here is the yearly bill for 5 mailboxes, before tax, cheapest first.
| Plan | 5 users, 1 year (before tax) |
|---|---|
| Zoho Mail Forever Free | $0 |
| Hostinger Mail Starter (first term) | $23.40 |
| GoDaddy Pro Light (first year, India only) | About $25 |
| Rediffmail Enterprise Small Business | About $27 |
| Zoho Mail Lite 5 GB | $60 |
| Google Workspace Base (India only) | About $63 |
| Hostinger Mail Starter (renewal) | $95.40 |
| Zoho Workplace Standard | $180 |
| Microsoft 365 Business Basic | $420 |
| Google Workspace Starter | $420 |
What is the cost in Indian rupees? For 5 users for a year on the India pages (before GST, then with 18% GST): Zoho Free ₹0, Hostinger Starter first term ₹1,740 (₹2,053), GoDaddy Pro Light ₹2,340 (₹2,761), Rediffmail Small Business ₹2,550 (Rediff does not state GST), Zoho Mail Lite ₹3,540 (₹4,177), Hostinger Starter renewal ₹4,140 (₹4,885), Zoho Workplace Standard ₹5,940 (₹7,009), Google Workspace Base ₹5,940 (₹7,009), Microsoft 365 Business Basic ₹10,200 (₹12,036) and Google Workspace Starter ₹16,200 (₹19,116).
Two catches. Hostinger's $0.39 needs a 48-month term, so 5 mailboxes means $93.60 paid upfront. And Google Workspace Base caps your team at 20 users, so a growing business may have to move to Starter later.

Cost climbs from free mail to full office suites, so pay only for the tier your team will actually use.
The 8 business email options, one by one
1. Zoho Mail: best value for most Indian businesses
Zoho is an Indian company, its India pricing is in rupees, and its free plan is still the easiest way to get [email protected] without paying anything.
- Forever Free: up to 5 users, 5 GB each, one domain. IMAP, POP and ActiveSync are not included, so you use Zoho's web and mobile apps, not Outlook or your phone's default mail app. Zoho says the free plan is available only in select data centres.
- Mail Lite: $1 (5 GB) or $1.25 (10 GB) per user per month, annual billing only. Adds IMAP/POP and 30 MB attachments.
- Mail Premium: $4, annual only, 50 GB plus retention and eDiscovery for compliance needs.
Pick it if you want a clean, ad-free inbox at the lowest dependable price. Skip it if your team refuses to leave Gmail or Outlook habits. Our step-by-step guide to Zoho Mail free with a custom domain shows the full setup.

Zoho's US pricing page lists Mail Lite at $1, Workplace Standard at $3 and Mail Premium at $4 per user a month, billed annually.
What is the cost in Indian rupees? On zoho.com/en-in, before 18% GST: Forever Free ₹0, Mail Lite ₹59 (5 GB) or ₹75 (10 GB) and Mail Premium ₹199 per user per month, all billed annually.
2. Zoho Workplace: Zoho's full office suite
Workplace bundles Zoho Mail with Writer, Sheet, Show, Cliq chat, Meeting and WorkDrive storage.
- Standard: $3 per user per month billed annually, $4 monthly; 30 GB mail per user.
- Professional: $6 annually, $7 monthly; 100 GB mail per user plus retention.
At $3 it costs less than half of Google Workspace Starter ($7), and Zoho lists it for any team size with 30 GB of mail for each person.
What is the cost in Indian rupees? On zoho.com/en-in, before 18% GST: Standard ₹99 billed annually (₹129 monthly) and Professional ₹399 (₹489 monthly). In rupees, Standard costs the same ₹99 as Google Workspace Base, with no 20-user cap and more mail storage per person.
3. Google Workspace: best if your team lives in Gmail
Workspace gives you Gmail on your own domain plus Drive, Docs, Sheets and Meet. Google's pricing pages list:
- Base: sold only in India, about $1.04 per user per month (50% off for the first 3 months), 20 GB pooled storage per user, maximum 20 users.
- Starter: $7, 30 GB pooled per user, up to 300 users, with Gemini AI in Gmail.
- Standard: $14, 2 TB pooled per user.
Each plan has a 14-day free trial, and Google says prices do not include tax. Starter costs seven times Zoho Mail Lite, so pay for it only if Gmail's search, spam filtering and Google Docs sharing are worth that to your team. Our Google Workspace price in India guide covers GST, flexible billing and UPI payment.

Google Workspace's US pricing page starts at $7 per user a month for Starter, with Standard at $14 and Plus at $22.
What is the cost in Indian rupees? On Google's India page, before 18% GST: Base ₹99 (₹49.50 for the first 3 months), Starter ₹270 and Standard ₹1,080 (₹864 introductory offer for new customers, first 20 users, 12 months). Billed in rupees, Starter works out to about $2.84, well below the $7 US price.
4. Microsoft 365 Business Basic: best for Outlook and Excel teams
Business Basic costs $7.00 per user per month paid yearly, or $8.40 on a monthly subscription, with tax extra. A version without Teams costs $5.40.
You get a business mailbox in Outlook, web and mobile versions of Word, Excel and PowerPoint, 1 TB OneDrive storage per user, and Teams. Desktop Office apps need Business Standard at $14.00.
Pick it if your accountant, clients or staff already send Excel and Word files all day. Skip it if you only need email; Zoho Mail Lite does that for a seventh of the price in USD (about a third in rupees, ₹59 against ₹170).
What is the cost in Indian rupees? On microsoft.com/en-in, before 18% GST: Business Basic ₹170 paid yearly or ₹204 monthly, ₹130 without Teams, and Business Standard ₹860.
5. Hostinger Mail: lowest upfront price, read the renewal
Hostinger's business email page shows three plans, each priced per mailbox on a 48-month term:
- Starter: $0.39 per month, renews at $1.59; 5 GB, 5 email aliases.
- Standard: $0.99, renews at $2.79; 20 GB, 10 aliases.
- Premium: $1.99, renews at $3.99; 50 GB, 30 aliases, plus a free domain for 1 year.
There is a 30-day money-back guarantee, and a running offer gives a third mailbox free when you buy two. Even at renewal, Starter ($1.59) stays cheaper than Google or Microsoft. The trade-off is the long upfront term and fewer business tools than a full suite.
What is the cost in Indian rupees? On hostinger.in, per mailbox on a 48-month term before 18% GST: Starter ₹29 (renews at ₹69), Standard ₹49 (renews at ₹119) and Premium ₹79 (renews at ₹179).
6. GoDaddy Professional Email: convenient if your domain is there
GoDaddy India lists Pro Light at about $0.41 per mailbox per month (10 GB), Pro Plus at about $0.94 (30 GB), Premium at about $1.57 (50 GB) and Ultra at about $2.83 (100 GB). These are India-only first-year prices, converted from rupees. The renewal rate is higher than the first-year price, so check it in the cart before paying. The plans list Titan AI writing tools, which tells you the mailbox runs on Titan's mail platform.
It is a fair choice if your domain and website already sit at GoDaddy and you want one bill. If not, Zoho gives you more for less.
What is the cost in Indian rupees? On GoDaddy India, before 18% GST: Pro Light ₹39, Pro Plus ₹89, Premium ₹149 and Ultra ₹269 per mailbox per month for the first year.
7. Rediffmail Enterprise: Indian provider with yearly pricing
Rediff sells business email by the year per user: about $2.85 for New Business Basic (1 GB), about $5.40 for Small Business (10 GB) and about $8.95 for Enterprise Advanced (10 GB, custom login page, custom branding and DMARC tools). Rediff prices only in rupees, so these are converted at ₹95 per dollar. Rediff lists data localisation on every plan and gives an Indian support number (022-61820000).
The 1 GB plan fills up fast if you send invoices and photos, so start at the 10 GB Small Business plan if you pick Rediff.
What is the cost in Indian rupees? Rediff's own prices are ₹270, ₹510 and ₹850 per user per year. The page does not mention GST, so confirm the final amount at checkout.
8. Free email with your web hosting
Most shared hosting plans include email accounts on your domain through cPanel or the host's own panel. If you already pay for hosting, this costs nothing extra. Our explainer on what cPanel is shows where those email settings live.
The downside: mail shares the server with your website, spam filtering is basic, and if you change hosts you must move mail too. Our guide to moving a website and email to a new host covers that move step by step. For anything beyond one or two addresses, a dedicated provider is safer.
Which business email is best for you?
Match the provider to how your team already works, not to the lowest price on a banner.
- Freelancer or new shop, 1 to 5 people: Zoho Mail Forever Free, then Mail Lite at $1 once you need IMAP or more storage.
- Small team that shares documents: Zoho Workplace Standard ($3) if price matters, Google Workspace Starter ($7) if everyone already uses Google Docs.
- Office that runs on Excel and Outlook: Microsoft 365 Business Basic ($7).
- Torn between Google and Microsoft on price: if you pay in rupees, Microsoft 365 Business Basic (₹170) is cheaper than Google Workspace Starter (₹270); in USD they tie at $7, so pick by the apps your team uses.
- Lowest cash out for the next four years: Hostinger Mail Starter ($0.39 a month), if you are fine paying 48 months upfront.
- Want an Indian provider with yearly billing and data in India: Rediffmail Enterprise Small Business (about $5.40 per user per year).
- Domain and site already on GoDaddy: GoDaddy Professional Email, after checking renewal in the cart.
What is the cost in Indian rupees? Zoho Mail Lite ₹59, Zoho Workplace Standard ₹99, Google Workspace Starter ₹270, Microsoft 365 Business Basic ₹170 and Hostinger Mail Starter ₹29 per user per month, all before 18% GST, and Rediffmail Small Business ₹510 per user per year (Rediff does not say whether GST is extra).
What to check before you pay
Per-mailbox storage versus pooled storage
Google pools storage: 5 Starter users share 150 GB across the team. Zoho and Hostinger give each mailbox a fixed quota. Pooled storage suits teams where one person (often accounts) keeps far more mail than others.
IMAP and POP access
If staff want mail in Outlook, Thunderbird or the iPhone Mail app, you need IMAP. Zoho's free plan does not include it; Mail Lite and above do. Google, Microsoft and Hostinger include standard app access.
Renewal price and term
Hosting-style email (Hostinger, GoDaddy) shows a low first price. Write down the renewal figure before you buy, and set a calendar reminder a month before the term ends.
GST invoice
Registered businesses can usually claim input tax credit on the 18% GST. Enter your GSTIN at checkout so the invoice carries it.
Data location and admin controls
If clients ask where their emails are stored, check the provider's data centre options. Rediff lists data localisation; Zoho, Google and Microsoft publish their data centre regions. Also check that you can reset passwords, suspend leavers and recover a former employee's mailbox from the admin panel.
SPF, DKIM and DMARC
These three DNS records prove your emails really come from your domain. Without them, invoices land in spam. Every provider here gives you the exact records to add; do not skip them.

SPF, DKIM and DMARC are three DNS records that prove your mail is genuine, and skipping them is the usual reason invoices land in spam.
Can you just use Gmail with your domain?
Not for free anymore, at least not the old way. Gmail's "Check mail from other accounts" feature fetched mail from another inbox over POP. Google is removing POP fetching and Gmailify from Gmail on the web: new users lost access after the first quarter of 2026, and existing users can keep it only until January 2027, as its Gmailify and POP support note (opens in new tab) explains.
You can still forward mail from a business mailbox (say, Zoho's free plan) into a personal Gmail, and reply using a "send mail as" address with the provider's SMTP details. That works for one person, but it is fragile, mixes personal and business mail, and gives you no admin control. For a team, pay for a proper mailbox.
How to set up business email in 6 steps
- Buy a domain. A
.inor.comdomain is enough. Our guides on domain name price in India and how to buy a domain name cover costs and registrars. - Pick a provider and plan from the table above, and start the free trial if there is one.
- Verify the domain by adding the TXT record the provider gives you in your registrar's DNS panel.
- Add the MX records so mail for your domain goes to the new provider. Remove old MX records first.
- Add SPF, DKIM and DMARC records, then send a test email to a Gmail address and check it reaches the inbox, not spam.
- Create users and secure them. Give each person a strong, unique password (our strong password examples help) and turn on two-step verification for every mailbox.
DNS changes usually show up within an hour, but can take up to 48 hours. Do not cancel your old email service until new mail is arriving.
What each business email plan really costs you
- Among business email providers in India, Zoho Mail costs the least to start: free for 5 users, then $1 per user per month.
- Google Workspace Starter ($7) and Microsoft 365 Business Basic ($7) are worth it only if your team uses Google Docs or Office files daily. In rupees Microsoft is cheaper (₹170 against ₹270); in USD they cost the same.
- Hostinger's $0.39 needs a 48-month term and renews at $1.59; check GoDaddy's renewal price in the cart before paying.
- Indian buyers pay the lower rupee prices on the India pages plus 18% GST; enter your GSTIN to claim input credit.
- Set up SPF, DKIM and DMARC on day one, or your mail may land in spam.
- Gmail stopped POP fetching for new users after early 2026 and ends it for everyone by January 2027, so the old free Gmail trick is going away.
Start with Zoho, upgrade only when your apps demand it
For a small Indian business choosing between business email providers in India, Zoho Mail is the safe first pick: free for up to 5 users, and $1 per user per month when you outgrow it. Move to Google Workspace or Microsoft 365 only when your team's daily work depends on Docs or Office files. Whatever you pick, add SPF, DKIM and DMARC on day one so your invoices reach the inbox.

Google Workspace Starter ($7) suits Gmail and Docs users, and Microsoft 365 Business Basic ($7) suits Outlook and Excel users. How much does a business email cost in India?
A business email costs $0 to $7 per user per month on common plans in 2026, before tax. Zoho Mail has a free plan, Hostinger starts at $0.39 on a 48-month term, Zoho Mail Lite is $1, and Microsoft 365 Business Basic and Google Workspace Starter are both $7. Indian buyers pay rupee prices plus 18% GST. You also need a domain, and its yearly renewal usually costs more than the first-year offer.
Is there a free business email in India?
Yes. Zoho Mail's Forever Free plan gives up to 5 users on one domain with 5 GB per user. It does not include IMAP, POP or ActiveSync, so you must use Zoho's web or mobile apps. Some web hosting plans also include free email accounts through cPanel, though spam filtering is basic.
What is the price of a business email ID?
The price of one business email ID ranges from $0.39 per month (Hostinger Mail Starter on a 48-month term) to $7 per month (Google Workspace Starter or Microsoft 365 Business Basic), before tax. Zoho Mail Lite costs $1 a month billed annually, and Rediffmail Enterprise sells a 10 GB ID for about $5.40 a year. You need your own domain name as well.
Is Zoho Mail better than Google Workspace?
Zoho Mail is better on price and Google Workspace is better if your team relies on Gmail and Google Docs. Zoho Workplace Standard costs $3 per user with 30 GB of mail per person and no team size limit, while Google Workspace Starter costs $7 with 30 GB pooled storage and Gemini in Gmail. Both offer documents, meetings and admin controls.
Do I need a domain to get a business email?
Yes. A business email uses your own domain, such as [email protected], so you must register one first. First-year offers are often heavily discounted, but the renewal price each year is higher, so compare renewal rates across registrars before you register. Some plans, like Hostinger Mail Premium, include a free domain for one year, but check the domain's renewal price too.
Is GST charged on business email in India?
Yes. Google, Microsoft and Hostinger state that their listed prices exclude tax, and 18% GST is added at checkout for Indian customers; check the cart total for other providers. A Google Workspace Starter seat billed in India at about $2.84 a month becomes about $3.35 with GST. Registered businesses can enter their GSTIN at checkout to get a GST invoice and claim input tax credit.
Can I use my business email on my phone?
Yes. Zoho, Google, Microsoft, Hostinger and Rediff all offer Android and iPhone apps or webmail that works on a phone browser. To use your phone's built-in mail app instead, you need IMAP access, which Zoho's free plan lacks. Paid Zoho plans, Google Workspace and Microsoft 365 all support standard phone mail apps.
Can I move my business email to another provider later?
Yes. You point your domain's MX records to the new provider and import old mail with its migration tool or IMAP import. Zoho, Google and Microsoft all offer import tools. Keep the old service active until new mail arrives at the new provider, since DNS changes can take up to 48 hours.
